Introduction
Scape-Ops LLC (“Scape-Ops,” “we,” “us,” or “our”) operates the Scape-Ops platform at scape-ops.com, a project management application used by landscaping companies to manage estimates, contracts, scheduling, and client communication.
This Privacy Policy explains what information we collect, how we use it, and the choices you have. It applies to everyone who interacts with the platform, with particular focus on the SMS, MMS, and voice features that property owners and clients of our customer landscaping companies may use to communicate about their projects.
Use of the platform and the SMS program is also governed by our Terms & conditions.
Information we collect when you agree to receive text messages
When you agree to receive text messages about your project, we record:
- Your mobile phone number
- Your name, as the landscaping company has it on file
- The date and time you gave consent, and how you gave it (for example, by checking the text-message consent box in your client portal, or by texting a project phone number first)
- Any later opt-out (STOP) or opt-in (START) request
Information We Collect via SMS, MMS, and Voice
When you send an SMS or MMS message to, or place a phone call to, a project phone number associated with a Scape-Ops account, we receive and store the following information so the landscaping company can respond and keep an organized record of the conversation:
- Your phone number (in standard E.164 format)
- The phone number you contacted
- The text content of any SMS message you send
- Any image, video, or other media you attach to an MMS message
- Voice call metadata: call start time, duration, status (answered, missed, busy), and the recipient the call was forwarded to
- Voicemail audio recordings, when call recording is enabled for that project
- Voicemail transcripts and short AI-generated summaries, when transcription is enabled for that project
- Technical identifiers used by our SMS and voice carrier (Twilio) such as Message SID, Call SID, Recording SID, and Transcription SID
We also collect information from staff users of the landscaping company (account email, name, role, and the messages they send) so the platform can attribute communication to the correct person. This Privacy Policy is primarily concerned with the data described above.
How we use this information
We use the information collected through SMS and voice to:
- Send you the project text messages you agreed to receive
- Route incoming messages and calls to the correct project conversation
- Notify the appropriate landscaping company staff that a message or call has arrived
- Display conversation history inside the dashboard so authorized members of the project team can review it
- Summarize conversations and voicemails, and suggest draft replies for landscaping company staff to review
- Maintain an organized audit trail of project communication for the lifetime of the project
- Diagnose technical issues with message and call delivery
What we do NOT do
We want to be explicit about how your information is not used:
- We do not sell your personal information, phone number, message content, or call recordings to anyone, ever.
- No mobile information will be shared with third parties or affiliates for marketing or promotional purposes.
- All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
- We do not use your SMS or voice communication content to market other products or services to you.
- We do not use SMS or voice content to train any third-party machine learning model.
Service providers (sub-processors)
We rely on service providers to operate the platform. Each one processes only the data needed for its function, on our behalf, and is bound by its own confidentiality and security obligations. They include:
- Twilio — SMS and MMS transport, voice carrier, call recording, and voicemail transcription.
- Supabase — encrypted database hosting and file storage for messages, call logs, and recordings.
- Anthropic (Claude) — AI processing of message and voicemail content to route conversations, summarize them, and draft suggested replies for staff. Anthropic does not use this content to train its models.
- Resend — transactional email delivery and inbound email routing.
- Vercel — application hosting and edge delivery.
SMS program details
- Message frequency varies based on the activity on your project.
- Message and data rates may apply (set by your wireless carrier, not by us).
- You can opt out of SMS at any time by replying STOP to any message you receive from a project phone number.
- Reply HELP for help, or contact us at privacy@scape-ops.com.
- Carriers are not liable for delayed or undelivered messages.
Data retention
Communication records (messages, call logs, recordings, and transcripts) are retained for the active life of the project they relate to, plus a reasonable archival period afterward so the landscaping company can refer back to the project history. Consent and opt-out records are kept as long as needed to honor your choice and to show that it was honored.
You may request deletion of personal information associated with your phone number by emailing privacy@scape-ops.com.
Security
- All traffic between your device, our application, and our service providers is encrypted in transit using TLS.
- Stored data is encrypted at rest by our database and storage providers.
- Row-level security policies restrict each landscaping company's data so it can only be accessed by that company's authenticated staff.
- Access to production systems is limited.
Your rights
You have the right to:
- Request a copy of the personal information we hold about you
- Request correction of inaccurate information
- Request deletion of your information
- Opt out of further SMS messages by replying STOP, at any time
To exercise any of these rights, contact us at privacy@scape-ops.com.
